Business Analyst – System Specialist


Job Purpose Summary
We are seeking a skilled and proactive Business Analyst / System Specialist to join our team and take ownership of the analysis, configuration, and optimisation of SimPRO Service Management software within the Group.

This role is a hands on analytical and technical implementation role to support the group with business requirements, process improvement and technical solutions, ensuring that SimPRO is leveraged to its full potential to drive efficiency, compliance and performance.

This role will involve travel to UK Offices on a regular basis. The canididate would be ideally located within a reasonable commute to Coleshill or Ollerton and be prepared to travel to other Asset Protection Group offices.


Key Responsibilities

Requirements Gathering & Analysis

  • Collaborate with business stakeholders to understand business processes and process improvement opportunities.
  • Translate business needs into functional, process driven technical requirements for SimPRO.

System Configuration & Optimisation

  • Configure and maintain SimPRO modules and services to align with business processes and workflows.
  • Identify, document and implement system enhancements, process improvements, customisations, and any other system configuration required by the group.
  • Configure and maintain standardised working practices within each group companies SimPRO platform.

Process Mapping & Documentation

  • Develop and maintain process maps, user guides, and system process documentation.
  • Ensure documentation is up-to-date and accessible for training and support purposes.
  • Maintain operational process libraries and ensure official process documentation is relevant and up to date and complies with our ISO Audit requirements.
  • Document operational processes and produce relevant training documents and training videos to support company processes, training and employee onboarding.

Stakeholder Engagement

  • Act as the primary liaison between business units for any queries or enhancement requests in relation to SimPRO and other integrated systems.
  • Provide training, support, and guidance to end-users on SimPRO functionality.
  • Perform 1 to 1 training and desk reviews to ensure business users are following approved processes and have the relevant training to carry out requirements of their role.

Data & Reporting

  • Design and deliver reports and dashboards using SimPRO’s reporting tools and approved external platforms (e. Power BI)
  • Deliver reports required by the group and maintain the SimPRO reporting library.
  • Ensure data integrity and support data-driven decision-making.
  • Perform regular data quality and data cleansing reviews inline with our standard Data Cleansing procedures and Data Protection policies.

Project Support

  • Lead projects related to system upgrades, new module rollouts, or process improvements.
  • Lead projects for new acquisitions to migrate from existing legacy systems to the groups chosen strategic platforms.
  • Coordinate testing, deployment, and post-implementation reviews.
  • Ensure change is implemented in and efficient controlled manor and all business stakeholders are engaged with improvement projects / system upgrades and changes.
Person Specification 
• Proven experience as a Business Analyst or System Specialist, ideally with SimPRO or similar ERP/ESM systems.
• Strong understanding of business processes in Fire & Security industry.
• Experience with system configuration, user support, and process improvement.
• Excellent communication and stakeholder management skills.
• Excellent customer service skills and a passion for delivering a great service.
• Self-motivated with strong commercial focus.
• Analytical mindset with attention to detail and problem-solving ability.
• Proficiency in documentation tools and reporting platforms.
• Knowledge of IT security standards and working practices.
• Values and understands the importance of meeting regulatory standards for the business and for its customers.
Desirable
• Experience with SQL, Power BI, or other data reporting and visualisation tools.
• Knowledge of compliance and quality standards relevant to Fire & Security.
• Business Analyst / System Specialist certification.
• Knowledge and experience of ISO Audit Requirements and Regulatory Requirements.

A full clean UK Driving Licence is required as the candidate will be expected to travel regularly to offices within the UK
